List Expenses

Ø  Go to Expenses → Add Expense

Step 2: Enter Expense Details

ØBusiness Location ->Select branch (e.g., Location 1)

Ø  Expense Category -> Select type (Salary, Electricity, etc.)

Ø  Expense Date -> Auto-filled or choose date & time

Ø  Expense Added By -> Select user (Admin or Staff)

Ø  Ledger -> Select expense ledger

Ø Expense Payable Ledger -> Select payable account

Ø  Tax Ledger -> Optional (if tax applicable)

Ø  Total Amount -> Enter expense amount

Ø  Attach Document -> Upload bill/invoice

Ø  Expense Note -> Add remarks

Ø  Payment Amount -> Enter paid amount (can be 0 or partial)

Ø  Payment Method -> Cash / Bank

Ø  Payment Account -> Select account

Ø Payment Note -> Optional note

Step 3: Save Expense

Ø  Click Save

Ø  Expense will be stored and visible in list page

Step 4: Open List Page

Ø  Go to Expenses → List Expenses

 

 

Step 5: Apply Filters

Ø  Business Location

Ø  Ref No

Ø  Expense For

Ø  Expense Category

Ø  Payment Status (Paid / Due)

Ø  Date Range

Ø  Ledger

Ø  Click filter system shows results

Step 6: View Expense List

Ø  Date

Ø  Ref No

Ø  Expense Category

Ø  Location

Ø  Payment Status

Ø  Total Amount

Ø  Payment Due

Ø  Expense For

Ø  Ledger

Step 7: Understand Payment Status

Ø  Paid

1.        Fully paid

2.        Due = 0

Ø  Due

1.        Not paid / partially paid

2.        Due > 0

Step 8: Actions

Ø  View -> See full details

Ø  Edit -> Update expense

 

Ø  Delete ->Allow only if:

Ø  Add Payment ->Pay remaining due

ØView Payment ->display all payment transactions linked to that expense

      

Step 9: Click “Print” Button

Ø Click the Print button (top right)

 

Step 10: Print Preview

Ø System opens a print preview page

Ø  Shows:

1.        Expense list

2.        Applied filters (optional)

3.        Total values (if implemented)

Step 11: Print / Save

Ø Print (Ctrl + P) → Hard copy

Ø  Save as PDF → Digital copy

Step 12: Export

Ø  Click the Export button(top right)

Step 13: File Download

Ø  System downloads file in format: Excel (.xls)

Step 14: Exported Data Includes

Ø  Date

Ø  Ref No

Ø  Expense Category

Ø  Location

Ø  Payment Status

Ø  Total Amount

Ø  Payment Due

Ø  Expense For Ledger
